Year-Round Event Planning: Seasonal Tips & Tricks

Planning unforgettable seasonal events can be hard. With each season offering unique opportunities, venue, and weather considerations take top priority. After all, you do not want your guests stranded and regretting that RSVP.

At Banquets of Minnesota, we take great pride in providing beautiful event spaces to make your day memorable. From birthday parties, Quinceañeras, office parties, family reunions, seasonal weddings, and every social and corporate event in between, our banquet halls are designed to accommodate your capacity and space requirements. Here are our top tips for planning the perfect event in every season.

Winter

There is nothing quite like planning a winter event in Minnesota. As the year draws to a close, winter is the perfect time to host end-of-year office parties and other corporate functions, family reunions, high school reunions, fraternity functions, and winter wonderland weddings. While the spectacular snowy scenes might be picture-perfect, you might want to rethink an outdoor event.

Instead, opt for indoor venues that provide heating and are easily accessible during snow conditions. Because fewer weddings take place during winter, expect more venue availability at discounted rates. Keep in mind that your out-of-town guests might not be familiar with Minnesota winters, so be sure to remind them to bring appropriate winter attire (long-sleeved dresses, coats, capes, hats, etc.)

Spring

As the weather begins to warm up, flowers blossom, and rain showers descend upon us to usher in the new season, there is usually a general uptick in events. Both indoor and outdoor venues begin to fill up with people hosting graduation parties.

Spring is also a popular time for other seasonal events, such as weddings, especially for people who want to avoid summer crowds. Booking venues and finding vendors is also easier, but if you are planning to have your event outdoors, it helps to have an indoor backup as there is no guarantee that you will enjoy a warm day with no rain. Unpredictable weather also dictates that you plan for the unexpected, so keep your guests in the loop about weather changes and the possibility of changing venues.

If you are planning a Spring event, start looking for venues as early as January or February to lock in a good price and comfortable spaces.

Summer

Summer is the peak season for all types of events. From graduation parties, seasonal weddings, and family reunions to outdoor team events and corporate picnics, it’s easy to see why everyone wants to take advantage of the long, warm summer days.

However, planning a summer event can be overwhelming. As the weather improves and the social calendars start filling up, expect price hikes. Most venues will likely be fully booked, and those with availability are likely to be quite expensive. The solution? Early booking.

Source your vendors and book your entertainment early to avoid price hikes and ensure that your budget remains on target. Some people go as far as booking a year in advance to secure a venue with enough space at a good price.

Fall

There are so many reasons to host your event in the fall. Outdoor seasonal events are especially popular in the fall to take advantage of festive fall decor and mild weather that lets your guests enjoy the event without major temperature fluctuations.

Also, as the summer crowds start dying down and people start getting ready for the holiday season, fall becomes the perfect time to host your  wedding ceremony, family reunion, retirement party, and any other personal event before everyone gets tied up with their holiday plans.

Because fall is still very popular for seasonal events, booking a venue well in advance ensures that you find a space that meets your capacity requirements and is still within your budget. Some venues, such as Banquets of Minnesota, also work with trusted vendors, so there is less possibility of mistakes.
